All deposits added and checks disbursed from the various custodial accounts from the following MC OFFICE Software packages will funnel through the Cashbook Reconciliation programs:

This selection will be used to add information to the Cashbook data to be processed through the MC OFFICE Software package. Transactions such as credit card withdrawals, miscellaneous credits to the account, deduction of service charges, automatic withdrawal made by Fannie Mae, Freddie Mac and others, miscellaneous charges, and adding checks that were not disbursed through one of the MC OFFICE Software packages.
This selection will be used to initialize the Cashbook Reconciliation. Checks that have not cleared the account and remain outstanding have to be entered at the time the program is set up. Thereafter, this feature will be used only to record those entries not processed though the normal functions of the MC OFFICE Software.
On occasion it will be necessary to re-issue checks. A check could have been lost, destroyed, payable to the wrong person, or even for the wrong amount and voided.
This program permits the operator to re-issue a check, void the previously written check, and add this new check to the list of outstanding checks, not yet paid by the financial institution handling the account.The re-issuance of a check does not change the balance in the cashbook account. The program will not permit a check to be written for an amount more or less than the amount of the previous check that is being replaced.
On a monthly basis it is necessary to balance the cashbook accounts. This selection is to reconcile the account to the deposits made, checks written and paid, and those checks not yet paid. There is an auditing feature offered by reconciling the cashbook accounts to assure no checks have been stolen, checks written out of sequence, or the payee has altered the check, and no kiting.
It is necessary to make entries not processed through one of the MC OFFICE Software packages through the Maintenance selection prior to commencing the reconciliation.A list of checks unpaid is maintained by the program. The ending balance for the month is automatically carried forward as the beginning cashbook balance for the next month.
SET UP TO USE
When the Cashbook Reconciliation programs is loaded and the financial institution accounts are set up, the data commences to pass to the Cashbook Reconciliation programs. However, this may not be a cut-off date for the checking account.
There are four steps to set up the package.
| Determine at which financial institution will the various cashbook custodial accounts be held. The financial institution will need to be assigned a code number. | ||
| What is the assigned account number at the financial institution for the account to be used by the MC OFFICE Software package. | ||
| Set up the financial institution, code number, name, and address. Then add the account numbers and which MC OFFICE Software package will use the account. Enter the type of account and the statement cutoff date. | ||
| Within each MC OFFICE Software package linking to the Cashbook Reconciliation program, the transactions passing to the account must be indicated as to which financial institution and account the transaction will be posted. |
These accounts are set up selecting 07. ACCOUNTING on the Main Menu. From the ACCOUNTING menu, select 10. BANK CODES & ACCOUNTS and complete the above steps.
This selection is to set up the financial institutions and accounts to be used by the MC OFFICE Software packages. The screen displays all financial institutions that have been set up.

To add a financial institution, use this selection. When the screen is displayed, enter the assigned code selected for this financial institution and complete entry of the data requested. All the accounts could be at the same financial institution.

Enter the assigned financial institution. This is the link from the various MC OFFICE Software packages to the accounts.
Enter the name of the financial institution.
There are two lines for the address of the financial institution where the accounts are held.
Enter this information.
Enter the assigned Federal Reserve Clearing Account Number. This information is not used by the program. However, it is available if and when it might be used in the future.

PKG is an abbreviation for package. This is the MC OFFICE Software package where the data for deposits and checks will be coming from.
Fields 09 through 32, enter the MC OFFICE Software package for the account. Select one of the following:

CTL is the abbreviation for control, the control number this account will correspond to in the MC OFFICE Software. Then enter the actual Account Number within the control. The CTL is a three-digit field. You do not need to zero fill the field. If the control is 1, enter just the 1. After leaving the screen, the program will zero fill the field automatically to be 001.
Then enter the financial institution assigned Account Number where the data from the control will be passed. The ACCT is 16 digits and will accept alpha and numeric characters.MORTGAGE BANKER
LOAN SERVICING
The one escrow check-writing account is identified in the LS Master Control Field 51 Cash/Disbursements Out. This clearing account must be set up here first. Contra Bank Account-Clearing Account (07.09.01). The escrow clearing account will have no control portion entered in the setup.
POOL DISBURSEMENTIn the Pool Disbursement package, the Bank Code and custodial P&I and T&I accounts are identified in Fields 04 and 05 of the Pool Master. The issuer code would be the control number.
For Construction, this would be one for the package. There is one custodial account for disbursements. The Bank Codes are identified within the package (02.11.05) and ACCOUNTING (07.10).

ST DAY (Statement Day) means the day of the month the checking account statement is cut off. Enter the day for each of the various accounts.

| Within each MC OFFICE Software package that links to the Cashbook Reconciliation program, the
transactions that will pass to the account must be indicated as to which financial institution and
account the transaction will be posted.
These accounts are set up from the path: 07. ACCOUNTING on the Main Menu, then on the Accounting menu selection 10. BANK CODES & ACCOUNTS. Determine the date you want to begin using the package. If possible, wait until the cut-off date for the checking account statement before starting. When the General Ledger account is set up and linked to the various MC OFFICE Software packages, the data will commence transferring over.Set up the Bank Codes and Accounts (07.10). The General Ledger Interface (07.09.01) for the custodial accounts cannot be set up until after the Bank Codes are set up. Review the General Ledger Interface accounts to assure all custodial accounts are set up with the correct Bank Code. |

HOW TO USE CASHBOOK RECONCILIATION
Selection 05 is used for the manual entry of checks, deposits, and various other transactions.

To record a deposit to a specific account. A screen will open and display the tran type (deposit), you then enter the date of transaction, amount, and a brief description.

The advance of corporate funds for negative escrow balances will be entered here for the escrow T&I accounts for various investors. |

To record a bankcard withdrawal to a specific account. A screen will open and display the tran type (bankcard), you then enter the date of transaction, amount, and a brief description.
To record a miscellaneous credit to a specific account.
To record a service charge assessed to a specific account.
To record a check written against this account. This is manual entry of a check not disbursed through MC OFFICE Software.
To record an automatic transfer withdrawal from the account specified.
To record a miscellaneous charge to the account specified.
To see an entry for check out option for funds disbursed without a check number.
After you manually delete any transaction entered, the program will display DEL on the line next to the entry.
To view the account selected.
This option is available through menu options 05. MAINTAIN CHECKING ACCOUNT, 06. RE-ISSUE CHECKS, and when you print the Check Register and the Bank Account History.

If the type has a C before it, it has been canceled and re-issued. An R means it is a re-issued check, and a V means the check has been voided.
Shows the number of the check.
The date of the transaction.
The amount of the transaction and whether it was a credit or debit.
The payee the check was written to or the description of the transaction.

Enter the check number to be canceled and the program will ask for a new check number. Enter the new check number, date, amount, etc. To void a check, enter the check number and press <V> to void.

| When the various packages process checks, the question is asked if the checks printed correctly. If reprinting is indicated, the program will automatically enter the check numbers to be voided. No need to enter them manually in this option. |

All checks that are disbursed from MC OFFICE Software will funnel through Cashbook Reconciliation. This adds automation to balancing the cashbook. MC OFFICE Software that will use Cashbook Reconciliation programs are the following:

STEPS TO USING THE
Cashbook Reconciliation Program
| When the checking account statement is received, enter the Cashbook Reconciliation program (07.07.01). Enter the statement period the checking account statement is covering and the balance from the checking account statement. | ||
| Enter the balance from your checkbook, as of the date of the checking account statement. This will be the balance on the trial balance for that custodial account of the same date as the statement. This is done the first time only. | ||
| Check your deposits with the checking account statement to make sure each deposit has been properly credited. If the deposits are correct, close the deposits, <SF7>. | ||
| Review the checks processed by the bank or credit union. Mark the checks that have been paid. Since most checks issued will be paid, update all by pressing <SF7>. Next, remove the X-Paid for the checks that have not cleared the account. | ||
| Return to the Cashbook Reconciliation screen. If the custodial account balance equals the checking
account statement, print the statement.
If the account does not balance, determine why. Make any adjustments for automatic transfers where no check was written, any credit card deductions, fees, or errors on checks. | ||
| Print the Monthly Reconciliation and retain for auditors. File the checks and deposits. | ||
| Now the account is balanced, close the checking account. The ending balance is transferred automatically
as the beginning balance for the next checking account statement period.
The date is updated for the next checking account statement date. |
| Checking accounts should be balanced every period. If no checks are written from the account, there could still be deposits and transfers by staff or wire. |
An example would be fees charged, wire transfer of funds, error in deposit or check, etc.
Once the account is in balance, it should be routine to balance each checking account period.(2.3.1)

To the beginning cashbook balance the program will add all deposits to this account accumulated from the Transaction History and Monthly GL Interface Summary for this account.
The program will subtract the amount of funds withdrawn from the account as indicated on the Transaction History and Monthly GL Interface Summary for this account.
Enter the deposits that have been made but are not reflected on the statement.
A listing of all outstanding checks is displayed from prior periods and all checks issued for this period using the check register. Subtract checks not paid by bank or that have not cleared the account.
Enter any adjustments needed to balance this account. Adjustments will still need to be entered into the account through MAINTAIN CHECKING ACCOUNT (07.05). If it is an adjustment to deposit, enter the amount of difference of the unmatched amount.
Computed difference between the bank balance entered and the checks that have not cleared.
The program stores the ending balance from the prior period. After the statement has been closed, this becomes the beginning cashbook balance for the next period.
This amount can be modified with a password when pressing <SF8>. Passwords are user defined and set up in Security.![]() |
When first beginning, you would enter the ending balance from your last/previous bank statement. |
BR010.00 MONTHLY RECONCILIATION is explained in detail in 10. MONTHLY RECONCILIATION.
Select the statement date. Enter the statement ending date. The beginning statement date will be one day after the statement date of the previous month.
Enter the ending bank account balance shown on the statement.
To review deposits made during this period and mark the deposits which have cleared the bank.
Use the Monthly Interface Summary Report to mark the deposits for this account.<SF7>CHECKS

If you did not just previously select <F4>PRINT, the <SF2> will force the program to include a printed copy.

Enter to indicate deposit has cleared (posted on statement) the account.
This selection will display an additional line per day for the total deposits made each day. The <SF4>SHOW SUMMARY option will toggle to OMIT SUMMARY. The operator can select to either show or omit the summary line.
Repeat all fields in the CLEAR column will display the following options to mark the entry:
If the deposit showing is incorrect according to your records, indicate the difference by pressing <U>UNMATCHED AMOUNT and entering the correct amount. Do not use <U>UNMATCHED AMOUNT if the deposit showing is correct.

| For the various Loan Servicing P&I control’s accounts this will be the daily total amount

Enter an X - PD on all checks.
